Employee Configuration:

The series of summary reports that the Management Module are based on the original data stored in the employee's personnel database. This data is copyed to the project database file in a process called "Refreshing". Once the project database has been refreshed the latest data is available for reporting.

Users should be aware that there is a limit on the number of staff members that can be linked to the 'Management Module'. Refer to the 'Management Module Registration' section for details on how to register your product for a specific number of users.

To add an employee to the linked list press the 'Add Staff' button or 'right-click' the form (shown above) to bring up a small editing menu. On the 'Add/Edit New Staff Member' form (shown below) you will be asked to set the database location. On clicking this button an 'Open File' window will open. Locate the staff members personnel timesheet database (identified with the '.ctd' file extension) - usually located on the staff members 'C:' drive. Click 'Open' to select this file.
The employee's name will come up in the relevant box. This can be edited if required. Enter a "Cost Rate" (what the Employee costs for their services - wages + overheads) and a "Charge out Rate" (what you charge a client for their services) and click 'OK'.

This will have loaded the new staff members details into the Employee list. To edit these details, at a latter stage, 'double-click' the relevant line to open the above form. To delete any of these staff member links 'right-click' the relevant line and a floating menu will allow you to modify that item.
Once you have linked all your staff member databases, click the 'Refresh' button and each employee's data will be uploaded into the project database file. If there are any problems in the process the user will be notified in the status column.

Users should take care to ensure a 'refresh' has been done recently before producing any summary reports.

Refer to the section on 'Archiving Employee Data' for details on how to permanently store an employees time and expense data in the 'Project' database as an alternative to remotely linking to the employees details.
For a summary of 'status' field definitions refer to the 'Employee Configuration Status Definitions'.
